How FLEX Racing scaled operations to handle 150% more orders with Moxo

The problem
FLEX Racing’s manual processes couldn’t keep up with the complexity and scale of growing custom orders.

FLEX Racing, a custom branding provider in the action sports and motorsports industry, manages a high volume of personalized apparel, equipment, and event orders. Every project is unique, requiring detailed tracking and coordination across multiple suppliers and stakeholders.

Before Moxo, the team relied on spreadsheets, emails, and phone calls to track progress. Each order required manual monitoring, constant back-and-forth, and countless reminders. “To manually go through and add everything I needed through the spreadsheets would take hours,” recalled project manager Rachel Husband. “We had so many clients that it was impossible to even go through everybody in one day” .

Founder Devin Husband put it bluntly: “In order to fulfill our clients, we needed to hire another Rachel, and the cost to hire her would offset any profits just to fill the order list” . The system was not scalable. As FLEX Racing grew, they hit a wall: either hire more people to manage the chaos, or find a way to orchestrate their processes more intelligently.

The solution

Using Moxo, FLEX Racing set up branching logic to dynamically guide each order based on client responses. The process automatically adapts at every step — from whether a design needs to be uploaded, to whether a designer is assigned, to whether complementary products are suggested. “The moment I identified Moxo and saw that we could build out these automation workflows, it honestly sparked a light bulb in my head,” Devin said .

Behind the scenes, shadow flows streamlined internal coordination. Tasks were automatically delegated to the right team members and suppliers, while clients only saw a clean, simplified view of their order status. “The shadow flows really help us delegate tasks internally, and make sure everybody is on track in a timely manner,” Devin explained. Bringing suppliers into the same system further eliminated miscommunication, with projects organized in one place and no gray areas between teams .

What once required hours of repetitive manual effort was replaced with automated triggers, structured workflows, and consolidated communication. FLEX Racing effectively built an orchestration layer across its business, aligning teams, clients, and suppliers without adding operational overhead.
